Document checklist

A usable file is better than a long story. Gather what you have. Missing items are normal—do not wait for a perfect packet.

  1. 01

    Policy jacket and declarations

    The full homeowners, dwelling, or commercial package—including endorsements. The declarations page alone is not enough.

  2. 02

    Claim number and date of loss

    Write them at the top of every note. If you have not filed yet, write the date the damage happened or was discovered.

  3. 03

    Every letter from the carrier

    Acknowledgment, reservation of rights, request for documents, estimate, payment, and denial. Keep envelopes if dates are disputed.

  4. 04

    Carrier estimate and checks

    The line-item estimate, any supplements, and copies or photos of checks already issued—including deductible withholdings.

  5. 05

    Photos and video

    Elevations, rooms, close-ups of openings, contents, and labels. Take them before demolition when it is safe.

  6. 06

    Emergency mitigation receipts

    Water extraction, tarp, board-up, and drying invoices. Temporary measures are part of the claim when the policy requires you to protect the property.

  7. 07

    Independent contractor estimate (if you have one)

    A scope from someone who will actually do the work. We do not invent prices from a homepage calculator.

  8. 08

    Contents list (if personal property is involved)

    Room-by-room inventory with age, brand, and replacement notes. A spreadsheet is fine.

  9. 09

    Condo or HOA documents (if applicable)

    Master policy excerpts and bylaws that say who files what. Bring them if you live in a building with shared coverage.
